Whitby Thank You Weekend - How the Businesses will deliver their offers

Hundreds of business generously responded to the call to provide accommodation, meals, drinks and other offers all for free, to front-line NHS workers who put themselves on the line to help protect us all.
In the initial phase we asked for businesses to join in, stressing that they could amend and even withdraw their offers at any time before 31st July 2020.
The Coordinating Team team have worked hard to come up with a fair method for allocating offers to Nominee - see How this Works, and for making sure that all the generous offers made by businesses are not only divided up fairly, but also fully taken up by NHS Nominees.
We will need all the businesses that joined up to firm up their offer over the coming weeks and no later than 31st July 2020. This will involve each business that joined in using the web form, to complete a slightly more detailed form that will allow the coordinating team to establish a detailed register of accommodation and offers. All businesses will receive an email over the next few weeks with a link to this new form so that we can complete this important step.

Accommodation Providers
The Coordinating Team team will try their best to match up the preferences of the Nominees with the constraints made by the accommodation providers. For example, where one or two nights have been requested or specified.
Successful Nominees will be asked to accept their offer package (accommodation and free offers) using an online register. Once accepted the final list will be drawn up and sent to the accommodation provider and to NHS Nominees/guests by email. NHS Nominees/Guests will be asked to contact their allocated accommodation provider to make their booking. The accommodation providers will be responsible for taking bookings within their own normal terms and to follow up their list to fill their bookings.
On arrival, the accommodation provider will explain to the guest what their offer consists of and provide them with their 'pack' (with details etc). The pack will be provided to the accommodation provider by the Coordinating Team in advance.

The Coordinating Team realise that having made a generous offer for a fixed number of meals and or drinks, that businesses will not want hundreds of phone calls, or people turning up 'on spec'. This could create a significant workload and also some bad feeling amongst guests. So, all offers that require booking in advance (as advised by the business concerned) will require the guest to do so. Please see How this Works for details of how guests will do this.
The form described above will allow businesses to state whether pre-booking is required.

Pubs / bars / cafes that will use vouchers
For businesses, such as pubs and cafes offering free drinks etc. The business will decide how many free drinks etc will be provided on each day and vouchers will be endorsed as such and handed to the Nominees based on their random selection process. Businesses will then be able to provide their free offer in exchange for a voucher and so controlling the quantity in advance.

Other offers
We have received various other offers some of which are for business to business (ie free laundry to participating accommodation providers). These offers will also have the option for pre-booking. Guests will be offered the option of requesting one of the 'other' offers when they confirm their acceptance of the offer. These requests will then be matched randomly and the offer providers notified accordingly. If advance booking is required this will be communicated to the guest.
